How Trademaster Re-Estimates Update


General Principles

Budget data for Season 1 and Season 2 is copied into Re-Estimates as soon as you select Re-Estimates for the first time in a year. Season 1 Re-Estimate data is not updated from budgets after that time. As you have processed at least the first period actuals, the budgets for Season 1 are blocked off unless you use the emergency override facility.

Re-Estimates for Season 2

However you can open a Season 2 Re-Estimate before you close Season 1, provided Season 2 budgets are complete. This enables you to base forward planning using the closing stock from Season 1 Re-Estimates.

Season 2 Re-Estimates are updated with budget data as soon as budgets are complete in Season 2. They will be updated each period during Season 1 until either (1) you edit any Season 2 Re-Estimate and file it back, or (2) roll variance reporting into Period 7 thus closing Season 2 budgets.

The philosophy behind this process is that while you are in Season 1, by editing a Season 2 Re-Estimate you are making the Re-Estimates your main planning facility and you will do all changes you want there. Using the Re-Estimate facility this way means that budgeting in Season 2 is using the closing stock brought forward from the Season 1 Re-Estimate. If you do this, you do not want the changes overwritten.

Updating Season 2 budgets from Re-Estimates

You can update Season 2 budgets from Season 2 Re-Estimates from the Utilities Menu. This can be done at any time prior to rolling Variance Reporting into Season 2 and provided that you have created some Season 2 Re-Estimates. Only sections flagged as edited in Re-Estimates are updated, other budgets remain as compiled. This is so that, having done planning in Season 2 Re-Estimates prior to Season 2 reporting, you can have Season 2 variance reporting against that data rather then the original budgets.

When you are in Season 1 Re-Estimates and switch to Season 2 what you see first of all is the latest updated budget data. If you go to edit Season 2 then TM2 flags a Re-Estimate for that heading and flags that Re-Estimating in Season 2 has started. No further updates from Season 2 budgets will take place after that point for any heading. So if you then update budgets (in Season 2) those changes will never get through to Re-Estimates in the normal course of things. Clearly, once Re-Estimating in Season 2 has started, any update from budgets would overwrite the Season 2 Re-Estimates you have already done.

Summary

That all seems a bit complicated but it really amounts to this:

  • In general, Re-Estimates will at first contain forward budget data as it was when Variance Reporting started for that Season, that is, at the time Period 1 or 7 Variance reports were first printed.
  • Any planning changes you make in a Re-Estimate will never be overwritten, except by current period actuals.
  • The exception is that if you create any Season 2 Re-Estimate before you commence variance reporting for Period 7, updating from budgets will cease for all headings.
  • If you have done this, before you process Period 7 actuals, copy the Re-Estimates back to Season 2 budgets before you roll into Period 7.
